At what point should I start using VTR?

You can begin building your proposal at any time—whether you're just gathering details or already deep in planning. VTR is flexible: work through your process, come back to edit or update, and submit when you’re ready.

Do I need training to use VTR?

No — VTR is designed to feel familiar and easy to use. Most teachers build their first proposal in under 15 minutes.

Can I try VTR before my school signs up?

Yes. Any teacher can create a free account and start building itineraries, risk assessments, and proposals.

Does VTR replace my school’s existing system?

No. VTR is built to work alongside the systems you already use. It can be customised to match your school’s approval flow and forms.

What kinds of activities does VTR support?

VTR works for excursions, incursions, camps, carnivals, sports days and any other variation to routine.

Can I use VTR if we go to the same place every year?

Yes. You can duplicate a past trip and update the details in minutes — no need to rebuild the entire proposal.

How does the itinerary builder work?

You map the day step by step, including travel, activities, and breaks. It’s easy to adjust and share, so everyone knows what’s happening and when.

Can I manage costs in VTR?

Yes. Add transport, entry fees, catering, or any extra costs. You’ll see a clear breakdown and can share it with your school leaders.

Does VTR meet government and school policy requirements?

Yes. VTR aligns with Australian school compliance standards and helps you keep a clear audit trail of all approvals.

What if my school has its own risk assessment template?

You can upload your school’s template. VTR’s AI tool will generate a summary that fits your format, saving time without changing your process.

Can I link learning outcomes to my proposal?

Yes. When creating a risk assessment, you can also connect your activity to curriculum outcomes.

How does the approval process work in VTR?

When you submit a proposal, it automatically routes to the right approvers in your school. Each approver can review, comment, and approve online.

What does the school dashboard include?

The dashboard gives school leaders full visibility — upcoming trips, pending approvals, risk documents, and compliance reports.

How does the shared calendar help?

Your school calendar is accessible to all teachers and admin linked to your school. That way, everyone can see what’s scheduled, helping avoid double bookings or clashes.

Do I have to contact providers myself?

Not if you don’t want to. VTR can book providers for you, using your proposal details to pre-fill the request.

Can I browse activity providers in VTR?

Soon! For now, visit our sister site, EdTripper, to explore the latest educational activity providers. This feature will be available in VTR soon.

Where is my data stored?

All data is stored securely on Australian servers. VTR follows strict privacy standards and never shares personal data.

Can other teachers see my proposals?

Only if you choose to share them. Otherwise, your proposals remain private.

Does VTR collect student information?

No. VTR doesn’t collect or store personal student data. However, we do integrate with major Student Information Systems and Learning Management Systems (Compass, Schoolbox, SchoolBytes, EdSmart + More) that many schools already use
